How to create a family calendar everyone actually uses
September 25, 2026
A family calendar works when three things are true: it's shared so everyone sees the same thing, it's easy to write in so nobody puts it off, and everyone knows why it exists. The setup itself takes a few minutes. What decides whether it's still alive a month later is the habits around it.
Step 1: Pick one place, and only one
Most families already have several calendars: one at work, one on the fridge, one on the phone and one in someone's head. That's where the clashes come from. Decide that the shared calendar is the one that counts for everything involving more than one person: pickups, practices, birthday parties, appointments and dinners at the grandparents'.
Your own work meetings can stay where they are. What goes in the family calendar is what others need to know.
Step 2: Create it and invite everyone
In FamVibe, an adult downloads the app, creates the family and gets a family code. You share the code with the others, who enter it when they create their accounts. An adult approves new members, so nobody gets in by accident. After that everyone sees the same calendar right away, and changes sync automatically.
Do it together, ideally at the same time. A calendar that only one person has opened never becomes shared.
Step 3: Fill it with what you already know
An empty calendar isn't a habit, just an app. Add the next few weeks straight away:
- What repeats: practices, lessons, school and daycare days. Enter them once as recurring events so you don't have to redo it every week.
- What's already booked: appointments, parent meetings, parties, trips.
- Birthdays. Swedish holidays and name days are included automatically.
Choose who an event is for. You can pick several people at once, for example when the whole family is going to a party.
Step 4: Make it a rule to add things right away
Nearly all clashes come from a time that "only lived in someone's head". The rule is simple: when something gets booked, you enter it while you still have the phone in your hand. Ten seconds now saves a bad morning later. Add a reminder to the important things too, and the calendar will remember for you.
Step 5: Go through the week together
Set aside ten minutes once a week, for example on Sunday evening. Look at the week ahead: who's doing pickup, who's cooking, does anything clash? Take the chance to plan the week's dinners at the same time, and the whole week is sorted in one go.
This is the moment that gets everyone used to looking in the calendar. After a few weeks the kids start asking for themselves: "What does the calendar say?"
If it still isn't being used
It happens. Three things to try:
- Start smaller. If it's too much, only add what tends to go wrong, like pickups.
- Let an adult lead. It's hard to ask others to do what you don't do yourself.
- Point to it when someone asks. "What are we doing on Thursday?" gets the answer "check the calendar", every time.
